MONTH OF WEDDING COORDINATION -

This package is designed for couples prefer taking on the major responsibilities in planning your event, but desire a professional to organize all final detail and direct the wedding day activities.
Assistance with what details are left to plan, coordinate arrival times of all vendors, Transport of wedding items, field any problems and guide you to a more efficient timeline and flow for your day of events. Lifetime Creation will be on site at your reception on the day of your big event.
Guidance begins up to 3 months prior to event

PREPARATION

  • Initial Consultation: discuss your wedding plans
  • 2 In-person meetings and as needed email correspondence (1 month and 1 week prior to your wedding day)
  • Meeting and working with your budget
  • Advise on Wedding Etiquette
  • Unlimited phone and email consultations
  • Wedding Checklists and Responsibilities. Includes budget worksheet, planning calendar, planning guidelines, music and entertainment worksheet, flower and decor worksheet, guests’ seating worksheet, checklist of personal items needed for your wedding day, marriage license and name change information, Checklist of whom is responsible for taking home gifts, cake topper, bridal portrait and keepsakes
  • Execute a custom Wedding Day timeline and Itinerary
  • Preparation of floor plan and seating chart
  • Develop and stay within the designated budget
  • Correspondence with wedding venue(s) regarding setup instructions and details
  • Review and proofing hotel/caterer's Banquet Event Order
  • Phone meeting with the reception site coordinator to ensure all parties are in sync


  • VENDOR COORDINATION

  • Vendor Contracts referrals in each category
  • 1 In-person meeting with all vendors
  • Review and confirm contracts and timing of events with all vendors
  • Verify all payment schedules are up to date
  • A custom wedding day timeline and Itinerary for your vendors
    -Includes all detail on-site vendors contact information
    -Includes detailed schedule for rehearsal, ceremony, and reception
    -Includes special program for the emcee
    -Include driving direction, map, setup and strike instructions for vendors

  • Obtain copies of liability insurance certificates and permits if required by venue
  • Follow-up with phone calls to vendors, regarding information detailed on the weekend agenda
  • Final vendor confirmations (1 week prior)
  • Final head count to appropriate parties

    WEDDING REHEARSAL

  • Coordinator’s assistance at the rehearsal directing the flow of the ceremony
  • Instructions on the family’s and bridal party’s responsibilities
  • Distribute timeline to wedding party
  • Collect all wedding items for ceremony and reception
  • WEDDING DAY SERVICES

  • Ceremony and Reception Coordination/Coordinator (up to 10 hours)
  • One assistant Coordinator (up to 10 hours)
  • “Morning wake-up” call to bride, groom and wedding party on wedding day
  • Manage the timing of all activities with wedding party, family members and vendors
  • Transport wedding items to the ceremony and/or reception site (i.e. programs, escort cards, guestbook, toasting glasses, favors, etc)
  • Wedding day emergency kit
  • Assist wedding party with attire
  • Distribute and pin all bridal party and family flowers prior to the ceremony
  • Set-up wedding programs and guest book
  • Layout guest cards, table numbers, favors, menu cards and seating chart
  • Oversee vendors commitments and make sure they're fulfilled to your standards
  • Instruct ushers on proper seating and program distribution
  • Organize processional order and seating of guests
  • Assure that ceremony and reception area are setup according to floor plans
  • Final inspections on setup, seating placements, table, place cards, favors, décor, etc.
  • Assure that the appropriate photos are taken by the photographer (if necessary)
  • Greet your guests and offer any necessary directions
  • Distribute final payments to vendors and gratuities (if requested)
  • Cue services for the ceremony (musicians, bridal party, etc...)
  • Greet and instruct guest who arrive late
  • Assure that the marriage license is signed and given to officiate
  • Bustle your wedding gown after the ceremony
  • Cue all services for the reception (Grand entrance, dances and toasts)
  • Assure that all personal items are transport to the designated person or hotel room
